Short answer

Ask for the extension terms before you book, and tell the provider as soon as the end date may move. If the same rooms are not free, ask for rooms in the same building or street first, and only then for a new address, so the crew does not have to move far in the middle of a project.

What to agree before you book

  • Whether the rooms can be held after the planned end date, and until when you must decide.
  • Whether the price per night stays the same when you extend.
  • How many days’ notice the provider needs for an extension, and for an early end.
  • Whether part of the crew can stay longer while others leave.

When should you ask?

As soon as the planning shows a risk, not when it is certain. A provider can often keep rooms free for a few extra weeks if they know early, and cannot if the next guests are already booked.
